Booking calendar and phone confirmation displaying different appointment times

Booking Confirmation Shows the Wrong Time Zone? Trace the Error Before Customers Miss Their Slot

A customer chooses 10:00 a.m., receives a confirmation for 3:30 p.m., and assumes your booking system moved the appointment. Sometimes the underlying reservation is right and only the email is wrong. Sometimes the reservation itself was saved as a different instant. Those are two different fixes. Start by locating the first place the time changes.

First, establish which time is actually booked

Use one affected booking and write down the service location, the customer's chosen time zone, the booking's stored timestamp, the time shown in the business calendar, the confirmation email, the calendar attachment, and any reminder. Do not infer a time zone from a phone number or an IP address. Ask what the customer selected or saw at checkout.

Compare one appointment across those surfaces. If the stored instant and staff calendar agree, investigate formatting in the email or invite. If they disagree, inspect the conversion before the booking is saved. If only a reminder differs, inspect the reminder's template and scheduling job. Preserve a screenshot and booking ID so the team can reproduce the same case.

Why one appointment can display several times

A timestamp represents an instant; a wall-clock time needs a time zone to be meaningful. A business in India may store a slot for 10:00 a.m. Asia/Kolkata, while a visitor in New York sees the equivalent local time on the previous day. The date can change as well as the hour. Formatting the same instant with a different zone is legitimate, but failing to label the zone makes the confirmation misleading.

Check whether your system stores a UTC instant plus the service location's IANA time zone, such as America/New_York, or only a text value like “10:00.” A fixed offset is not enough for future appointments in regions that change clocks. Also check whether a date was parsed as local time on one server and UTC on another, and whether an email template applies a second conversion to a value already localized.

A safe diagnostic sequence

1. Reproduce with a test booking while logging the selected slot, selected zone, server value and generated message. 2. Identify the first boundary where the hour or date changes. 3. Fix that boundary, rather than adding a compensating offset downstream. 4. Regenerate the email and calendar invite from the same canonical booking instant. 5. Show the zone name near the time in the confirmation and reminder.

Test three cases: a customer in the service's time zone, a customer in another time zone, and a booking near a daylight saving transition. Include a late-evening slot that crosses a calendar date internationally. Existing bookings may need separate review; changing display code does not repair a previously saved wrong instant.

What the confirmation should tell a customer

Display the appointment date, time, and named time zone together. If useful, show the customer's local equivalent as a secondary line and label both. Make the email, on-site confirmation, calendar file, and reminder agree. Give customers a clear route to report a mismatch before the appointment. This reduces support work while the root fix is being tested.

Frequently asked questions

Should every booking be stored in UTC?

A canonical instant in UTC is useful for comparison and scheduling, but also retain the business or service time zone and the originally intended local slot. Recurring appointments and future daylight saving rules need that context.

Why is the email wrong when the dashboard is right?

The template may format the saved instant using the recipient, browser, account, or server default zone. Compare the raw booking record to the email renderer and specify the intended zone explicitly.
